Terms of service

Last updated September 17, 2026

Valor Registry is a free service operated by Heritage Data Labs, a 501(c)(3) nonprofit organization, for recording military medals and the service members who earned them. These terms are short because the service is simple. By creating an account you agree to them.

What the service is

Valor Registry lets you keep a private catalog of service members and their medals — names, service details, biographical notes, images, and provenance — and, if you choose, make parts of it discoverable to other users so that collectors, families and researchers can find one another. It is provided free of charge as part of Heritage Data Labs' mission to preserve military history. A record can also be an unattributed group: medals you hold whose recipient is not yet known.

We are not a marketplace. You may note on your own record that a medal is for sale, and that note is private to you. We do not list items for sale, take payment, broker transactions, or take a commission, and we are not a party to any arrangement you make with another user. We may show you a listing from a third-party marketplace that might be a medal missing from one of your records; that is the marketplace's listing, not ours, we do not vouch for it, and we receive nothing if you buy.

Your account

You must be at least 13 years old. Give us a real email address — we use it to confirm the account, to reset your password, and for nothing else. Your account works as soon as you register. To keep the discoverable registry free of spam and scrapers, we may deactivate an account that is being used for either, without giving a reason.

Keep your password to yourself. Everything done while logged in to your account is your responsibility. If you think someone else has access, change your password and tell us.

Your records

What you put into Valor Registry is yours. You keep every right to it. You give us only the permission we need to store it, back it up, show it back to you, and — if you have turned discoverability on — show the discoverable parts to other logged-in users. That permission ends when you delete the record or the account.

You are responsible for what you record. Many of the people in this registry are real, and some are living or have living family. Record only what you are entitled to record, be accurate, and if a family member asks you to remove something about their relative, remove it. If they ask us, we will.

Do not upload anything you do not have the right to upload, and do not use the registry to store material unrelated to military service and its history.

Discoverability and contact

Discoverability is off until you turn it on. When it is on, other users can find your records and send you a contact request; you decide whether to accept. Use contact requests for what they are for — questions about records, shared research, connecting families with medals — and be civil. Harassment, unsolicited sales pitches, and repeated unwanted contact will get an account deactivated.

What you may not do

  • Scrape, crawl, or bulk-download other users' records.
  • Enter information about a living person that they would object to.
  • Impersonate anyone, or misrepresent a medal's provenance.
  • Use the service to harass, threaten, or defraud another user.
  • Probe, overload, or interfere with the service or its security.
  • Use the service for anything unlawful.

Ending things

You can stop using Valor Registry whenever you like. To have your account and everything in it deleted, email info@heritagedatalabs.com from the address on the account. We may deactivate an account that breaks these terms; where it is reasonable to do so we will tell you why first.

No promises

This is a free service run by a small nonprofit. We work hard to keep it up and to keep your data safe, but we cannot guarantee that it will always be available or never lose anything. Keep your own copies of anything you cannot afford to lose. The service is provided as is, without warranty of any kind, and to the extent the law allows, Heritage Data Labs is not liable for any loss arising from your use of it.

Records in the registry are entered by users. We do not verify them, and nothing here should be taken as an authoritative statement of anyone's service or entitlement. For that, go to the original archives — our public archive at medalsearch.net publishes the source of every record it holds.

Changes

If we change these terms we will change this page and the date at the top. Material changes will be noted here rather than made quietly. Continuing to use the service after a change means you accept it.
